M365 Hub: Your Guide to a Smooth Transition

M365 is Northeastern University’s official suite of communication and productivity tools. With this transition, faculty, staff, and students at the Northeastern University – London campus now have full access to Microsoft’s powerful productivity suite, including Outlook for email and OneDrive for file storage. Review the checklist to learn what to do before and after your data migration to Microsoft 365.

Before the migration

  • Activate your @northeastern.edu account. 
  • Review the transition checklist below.

During the migration

  • Google data migrates to the Northeastern M365 account.
  • Avoid moving files or changing folder structures.

After the migration

  • Start using Outlook and OneDrive, and validate successful migration of your data.
  • Re-create your rules, filters, and share settings.
  • Personalise your M365 experience.

From Google to Outlook: Navigating Your New Inbox

This training session is designed for those transitioning from Google to Microsoft Outlook. Learn how to navigate Outlook’s interface, manage emails, and explore key differences between Gmail and Outlook. By the end of the session, you’ll confidently use essential Outlook features, including folders, and email filters, ensuring a smooth transition and enhanced productivity in the M365 environment.

Sync Up: A Smooth Switch from Google to Microsoft Calendar

This training is tailored for those moving from Google Calendar to Microsoft Outlook Calendar. Learn how to schedule and manage events, set reminders, share calendars, and use scheduling assistants in Outlook. The session will also highlight key differences between the two platforms, ensuring you can effectively manage their time and collaborate using Microsoft Outlook Calendar’s tools. By the end, you’ll navigate and optimize Outlook Calendar with confidence.

Drive Shift: From Google to OneDrive

This training is designed for those moving from Google Drive to Microsoft OneDrive. Learn how to store, organize, and share files in OneDrive, as well as sync documents across devices. The session will cover key differences between Google Drive and OneDrive, including file collaboration, integration with Microsoft Office apps, and advanced sharing permissions. By the end of the session, you’ll feel confident in using OneDrive for file management and collaborating within the Microsoft ecosystem.

Before the migration

Northeastern University has provided automatic data migrations of mail, calendar, contacts, and file content to help make the transition to M365 as seamless as possible. However, some preferences and features from your Google account may not migrate, including Google Forms and Chats, sharing and delegation settings, tasks, and contact tags. You’ll continue to have access to your Google Workspace after the migration to access any of the history and settings that don’t transfer.

Activate Account

Activate your @northeastern.edu account by following the email instructions in your inbox. 

Signature

Save your signature content from Google to easily re-create it later in Microsoft 365. 

Rules and Filters

Document any rules or filters you use in your email and want to continue using.  

Calendar

Make a note of any calendars you subscribe to along with who your calendar is shared with and any delegated access.  

Shared Documents

Copy shared files to your Google Drive prior to the migration, as links to files and folders shared with you will no longer work after the migration.

Large Attachments

Download and save any large attachments over 75 MB and delete them from your inbox and trash.

Personalise your M365 Experience

Now that your data migration has been successfully completed, you can start using Microsoft Outlook for email and OneDrive for file storage. Your @nulondon.ack.uk email address will be your primary address for sending and receiving emails. You’ll also continue receiving messages addressed to your @northeastern.edu, @students.nulondon.ac.uk, and @su.nulondon.ac.uk addresses.

Log in to M365

Visit microsoft365.northeastern.edu and log in to the web apps with your Northeastern credentials. You can also download the apps on up to five devices.

Review Your Account

Review your mailbox and validate that copies of your messages, appointments, and contacts have migrated to M365 successfully. 

Language and Time Zone

Change your language and time zone as needed.

Signature

Set your email signature in Outlook.

Reorganize Email

Learn how to recreate rules or filters to help organize your email. If you’re not seeing all of your messages, select the arrow to the left of the folder.

Web or App

Personalise your M365 web experience, or download the Outlook and Office apps on up to five devices.

M365 On the Go

Visit the Tech Knowledge Base to learn how to configure your Apple iOS device or Android device with M365 mobile applications. Visit Microsoft support to learn how to configure another device(s).  

Share Calendars

Re-share your calendar and assign delegate access as needed. Note that you don’t need to share your calendar for others at Northeastern to see your free/busy times.

Shared Mailboxes

If you have a shared mailbox, open it in Outlook on the web without a separate password or login.

Customise Calendar View

Change the settings of your calendar as desired, including which calendars you can view at the same time.

Send New File Links

Once you start using OneDrive and Sharepoint send new document links to any collaborators outside of the London campus.
